AI-powered Insights Hub: One clear view across every site

Being accountable for quality across several services means relying on people you can't sit down with every week. For most multi-site leaders, the picture gets pieced together from phone calls, spreadsheets and whatever landed in the inbox last week. Every site holds the information you need, spread across its own records, and bringing it together takes time you rarely have.

Our new Insights Hub draws incidents, care documentation and outcomes from every site into one place, built from the records your teams are already keeping. You can see where each service stands today, spot early where a team could use support, and show your board and your regulator that quality is being well managed.

Insights Hub is available on our Outstanding plan. It replaces our previous group dashboard with a fresh design, new reports and sign-in through your existing Care Office details, with full support for single sign-on.

Know where every site stands

Everything starts with an accurate baseline: where each site is right now, based on its live records.

The Review Dates Report shows which CQC-required documents are current and which are overdue, including care plans, DoLS, consent forms, DNACPR decisions, future plans and goals. It breaks the picture down by site and by document type, so you can see which services have the biggest gaps and which documents are consistently falling behind. That gives you time to direct support well ahead of an inspection.

The new Provider Information Return (PIR) report brings together data that usually takes hours to cross-reference. Restraint incidents, medication errors, DoLS authorisation status, service user demographics by age and funding type, BMI trends and service user numbers over time all sit in one view, ready when your deadline arrives.

See which sites need support

Compliance status tells you part of the story. The differences between services show up in the detail. Two sites can look equally compliant while one is under-recording incidents and another has improvement actions that stay open for months.

The Incident dashboard shows incident volume per site, trends over time, the most common types across your services and where they're concentrated. Incident trends adds the conditions around each incident: the day, the time of day and the team member who logged it. Clusters around handovers or weekend shifts point you towards staffing and training decisions. You can also tell a busy service apart from a quiet one that has stopped recording.

The To-dos dashboard shows which care tasks are completed, skipped or overdue across every site over the last 30 days. It breaks them down by category, from personal care and food and drink to body maps and health visits, and shows how late overdue tasks are running, from under an hour to more than 12 hours. So you can tell a process issue affecting every site from one service having a difficult week, and step in at the right level.

Track what changes

Once you've found a gap, the next question is whether things are improving.

Incident Actions shows every action assigned after an incident, across every site, with its status, owner and incident type. Filter to find the actions that have stalled and follow them up while they still matter. This is the learning loop CQC looks for, recorded as it happens.

The Goals Dashboard shows completion rates, active and completed goals, and progress over time for each site. You can see which services are helping people move towards what matters to them and share what's working with the rest of the group. That's direct evidence for CQC's Responsive and Caring key questions.

Mark as read compliance shows the percentage of your team who are up to date with the latest support plans, risk assessments and goals. You can see which people you support have unread documents, spot logs recorded by team members who hadn't read the latest planning, and follow compliance month by month. It's evidence that when a plan changes, the people delivering care know about it.

Board and regulatory reporting from the same place

The Download Centre gives you pre-built CSV exports for team members, service users, logs, risk assessments, care plans, incident reports, and outcomes and goals. One action exports data from every site. Board packs, governance reviews and inspection evidence all come from the same trusted source, so the numbers are ready when you're asked for them.

From reacting to preventing

The immediate value of Insights Hub is time and clarity. Managers spend less time chasing information and more time directing support to the sites that need it, while learning from the ones performing well.

Over time, the value grows. As your teams keep recording, patterns emerge across your services, and the link between what carers do and the outcomes people experience comes into focus. That's how care shifts from reactive to preventative.

Getting started

Insights Hub is available now to providers on our Outstanding plan. Access is switched off by default, so an admin needs to turn it on. Admins can then give access to other admins and managers from the team member roles and permissions page. Once enabled, you'll find Insights Hub in the drop-down menu under your profile in the Care Office.
