Prior to adopting Log my Care as their digital care management system, Sahara Care, a complex needs care provider with several sites around east London and Essex, found that their previous processes involving manual record keeping made administrative tasks cumbersome.  This resulted in inefficient time management and challenges with keeping records updated to remain compliant. The team urgently needed a user-friendly and efficient system to streamline operations and make efficiencies that would lead to them being able to ultimately improve the quality of care that the team could deliver to the people they support.

A critical requirement for Sahara Care was a digital care management tool with robust features to support complex care needs. Essential functionalities included comprehensive incident management, Positive Behavioural Support (PBS), and goals tracking.  

We had a few demos of similar online care systems but none of them matched the user-friendly and easy to navigate functionality of Log my Care. Beyond this, Log my Care also had the complex care features that are hard to find in other providers.

Sahara Care’s key challenges

  1. Complex and time-consuming processes: Sahara Care’s previous care management system was difficult to navigate, leading to significant time spent on administrative tasks, diverting attention away from delivering care.  
  2. Regulatory compliance: Maintaining up-to-date and compliant documentation was challenging and resource intensive.
  3. Family engagement: Keeping families informed and involved in their loved ones' care was not as effective as desired.
With the digital system, monitoring is much easier. Notifications on the dashboard alert me immediately if someone has an injury. Previously, we'd search through body maps, but now it's instant. The system also prompts timely updates for support plans, streamlining our audit process.

Implementation

Sahara Care were happy with the implementation and onboarding process and felt well-supported by the Log my Care team. Training sessions were provided to ensure that all staff members were comfortable using the new system. Key features that stood out during the implementation included:

  • Intuitive interface: The system's design made it easy for staff to learn and use quickly.
  • Digital support plans: These allowed for easy access and updates to care plans, ensuring they were always current and compliant.
  • Instant notifications: Real-time alerts helped staff stay on top of important tasks and updates.
The training support was excellent, with multiple sessions that provided ample opportunities to ask questions and receive feedback. This allowed us to thoroughly understand the system, and even as new providers, we had the chance to revisit and deepen our knowledge. For example, I discovered why I couldn't upload email evidence, which was invaluable for my role as a registered manager. The support we received made the transition smooth and efficient.

  3. Enhanced family involvement: Families could be more actively involved in their loved ones' care through the system's sharing capabilities. Regular updates and easy access to care plans helped families stay informed and engaged.
The digital system has made our jobs easier and allowed us to spend more time with the service users at Sahara House. The tablets provide flexibility, enabling us to upload pictures for evidence-based work and share progress with families. One resident's mother even signed the support plan on Log my Care, demonstrating family involvement and meeting CQC standards. It's truly wonderful.
