How SHG saved the NHS over £1.2 million while scaling as a national provider

Scaling a national, specialist learning disability service

As SHG grew from a single site to services spanning Cumbria to Cornwall, the system it relied on didn't grow with it. The legacy platform SHG used hadn't been meaningfully developed in two decades: no dropdown fields, no structured workflows, no dashboards. Staff copied the same information from spreadsheet to tracker to report, doubling the effort behind every piece of documentation, and checking on a service meant a phone call or a site visit.

For a specialist provider managing complex, distributed services, that wasn't sustainable. SHG needed a system built for how behavioural support actually works - one that could centralise incident tracking, enable oversight from anywhere, and produce data robust enough to stand behind decisions made with commissioners and funders. That need led the organisation to switch to Log my Care.

Saving the NHS over £1.2 million in just one year

SHG's PBS practitioners track year-on-year changes in support ratios for each individual, calculating the cost saving to commissioners as restrictions are reduced and independence increases. Between April 2025 and April 2026, that work reduced total care hours by 40,404, and Log my Care is where the evidence for that reduction lives.

As an individual's needs change, their PBS team can show that a lower support ratio is safe and appropriate for them, whether that's coming out of hospital on 8:1 and moving to 6:1, or independence growing from 6:1 to 5:1. Each change cuts restriction and cost together.

This evidence was only surfaced because of the data made available to analyse by Log my Care. SHG's PBS practitioners record every change in an individual's support ratio directly against their care plan and PBS strategy, and pull that data into incident and risk reporting to build the year-on-year picture funders see. Before switching, pulling together that scale of before-and-after data wasn't realistic. Now it's something SHG can point to directly, in commissioning conversations and in conversations about what good, evidenced care actually looks like.

What began as a quality improvement exercise, reducing individuals' support ratios as their needs evolved, has become the organisation's clearest evidence of impact. For SHG, the number sits alongside a quality of life story: proof that the people they support are gaining independence and living fuller lives, the outcome PBS is designed to deliver in the first place.

Visibility that builds a complete picture – from incident dashboards to clearer evidencing

Beyond a reduction in hours and NHS cost savings, visibility is a thread that now runs through every part of how SHG operates.

Managers can see exactly who has recorded what, and when, which surfaced a gap in how consistently support workers were writing up their evidence.

That same evidence gives senior leaders day-to-day operational control, without needing to be on site.

Care plan read receipts give the team direct evidence for CQC, and families with power of attorney get filtered access to records through the family app - a level of transparency the team is keen to point out isn't a given across the sector.
